Yet every year, travelers leave money behind by tripping over the same avoidable mistakes. Mistake 1: Not asking for the Tax Free form before paying

The VAT refund form has to be requested at the till, before the transaction is completed — not after you’ve already left the store with your bag. You’ll need to show your passport at checkout so the store can issue the fiscal invoice, the receipt, and the “VAT refund form for non-EU residents” together. Smart shoppers always carry their passport when browsing authorized Tax Free stores, and they double-check that the invoice is made out to them personally, not to a company — a detail that can otherwise block the refund entirely.

Mistake 2: Splitting purchases across several small receipts

To qualify for a refund, your purchase must reach a minimum threshold — currently 890 RON (roughly €175, VAT included) — on a single invoice from a single store. Rules can feel annoying sometimes, but they’re the country’s law — a quick stop for that customs stamp now beats regret later. Smart travelers build in extra time at the airport or border crossing specifically for this step, rather than treating it as optional or assuming their boarding pass is proof enough.

Mistake 4: Not planning ahead for checked luggage — or an EU layover

If your tax-free purchases are going into checked baggage, you must tell the check-in desk before your bags are loaded, so customs can inspect and stamp your documents first — once the suitcase disappears down the belt, that option is gone. And if your route includes a layover in another EU country, remember that flying Romania → another EU member state does not count as leaving the EU: hand luggage must be stamped at the customs office of the last EU country you transit through, while checked luggage is still stamped in Romania before departure. Smart shoppers also keep their goods unused and in their original sealed packaging right up until they’ve cleared customs — opened or used items can be refused.

Mistake 5: Trying to claim a refund on services, or confusing Tax Free with Duty Free

The VAT refund only applies to tangible goods you’re taking out of the country — not to hotel stays, restaurant bills, car rentals, or any other service. It’s also a different mechanism from Duty Free: Duty Free stores (usually at airports or border crossings) sell goods tax-exempt on the spot, while Tax Free means you pay VAT upfront in a regular store and reclaim it later, after you’ve left the EU. Mixing up the two — or assuming a spa treatment or a nice dinner qualifies — is a quick way to be disappointed at the refund counter.
