Airport guide: How to validate your Tax Free form quickly
Validating your Tax Free form at the airport is the key step that allows you to actually receive your VAT refund. If you miss it or do it incorrectly, the refund operator cannot process your money.
1. What “validation” means
Validation is the official confirmation from Customs that you are leaving the European Union with the goods you purchased. It usually happens at the last EU airport on your route, not always where you bought the items.
Once your form is validated, your refund can be paid in cash or to your card/bank, depending on the option you choose.
2. Prepare everything before you go to the airport
To save time at the airport, prepare these items in advance:
-
Your Tax Free form, fully completed and signed
-
Original store receipts/invoices attached to the form
-
Your passport or ID proving non‑EU residency
-
Your boarding pass or flight booking
-
The unused goods you purchased (in hand luggage or checked baggage, depending on their size)
Make sure the data on your passport matches the Tax Free form and receipts. If something is wrong, ask the shop to correct it before travel.
3. Know where to go at the airport
You can go at the customs desk or office
Look for signs like “VAT refund”, “Tax Free”, “Customs”, or “Global Blue / Planet / Tax Free”. In many airports, the validation point is:
-
Before security, if your goods will go into checked luggage
-
After security, near your gate, if your goods stay in your hand luggage
If you are not sure, ask airport staff where you can validate your Tax Free form for your specific airline and destination.
4. Step‑by‑step: validate your form fast
Follow these simple steps to move quickly:
-
Go to the Customs desk or validation kiosk before boarding your flight.
-
Show your passport, boarding pass, Tax Free form, receipts, and the unused goods. Customs may ask to see your purchases.
-
Get your form validated.
-
After validation, go to the Tax Free / refund operator counter (or follow the instructions on your form) to get your money back.
Without a Customs stamp or electronic validation, your refund cannot be processed.
5. Hand luggage vs. checked luggage
Where you validate depends on how you carry your purchases:
-
If the goods stay in your hand luggage:
Validate after security, before going to your gate, at the Customs office or kiosk in the departures area. -
If the goods go in checked luggage:
You must go to Customs with your luggage and purchases before checking in. The officer may want to see the goods before your suitcase is sent to the aircraft.
Never use or wear the items before validation; Customs may refuse to stamp if they are clearly used.
6. Final exit from the EU: a common mistake
Validation must happen at your last departure point from the European Union, not necessarily where you first board. Example: if you fly Bucharest–Vienna–Dubai, Vienna is your last EU airport, so you must validate there.
If you validate too early, or in the wrong country, your refund might be rejected.
7. How you actually get your money
After validation, you usually have three refund options:
-
Cash at the airport Tax Free desk (fast, but may include higher fees)
-
Bank card / bank transfer after you mail the validated form to the operator
-
In some cases, refund directly in the store when you return to that country, if the shop allows it
Always check the instructions on your form, because each Tax Free operator has its own rules and commissions.
8. Extra tips to avoid problems
-
Arrive at the airport earlier than usual, especially in busy seasons
-
Keep all documents together in a separate folder
-
Do not pack your receipts separately from your purchases
-
If you are unsure, ask the Customs office or a Tax Free counter before you check in
A few minutes of preparation can make the difference between getting your refund smoothly and losing it completely.
